General Accountabilities:
- Perform clerical/administrative duties in support of the Customer Service System/Passport processes (or their replacements). Set up, monitor, issue, schedule and dispatch field orders. Communicate with internal customers/contractors.
- Perform clerical/administrative duties in support of the work to be performed by Lines and Planning Technicians utilizing various computerized systems, or their replacements (i.e., adding jobs in Outlook calendars). Communicate dates for external contractor to support HONI required work. Assist the Planning Technicians (PT#s) to reschedule contractor work if required.
- Monitor Zone Scheduling e-mail box for necessary corrective action to be scheduled. Monitor and schedule switching requests.
- Support the Trouble Call and Switching Notification processes by ensuring the information provided in the Trouble Report and Switching Notification is complete and accurate, create work orders to collect costs, liaise with the field to solve any issues, coordinate the correction of any mischarges by requesting timesheet corrections, manage notification statuses, ensure Trouble Reports are submitted in a timely manner and closing the orders when work is complete.
- Support the Off-Roads, Pole Setter and Floating processes by working with the field and TX Planning Techs to schedule equipment (including annual maintenance), maintain Off-Road tracking tools, optimize the Pole Setter schedule by looking for bundling opportunities, schedule Hydro One drivers (Pole Setter and Floats), process rental requests for Off-Road equipment if internal units are not available, create external requests for float moves if Hydro One drivers are not available and request over-sized equipment permits with municipalities across the province.
- Perform a variety of miscellaneous clerical/administrative activities (ordering supplies & materials, recording attributes, mapping, maintain various zone lists and spreadsheets, managing mailboxes, processing Property Management Proposals, processing Waste Management requests, etc.), as required to maintain the effective operation of the department.
- Perform other duties as required.
Selection Criteria:
- Requires a knowledge of data processing in order to input, manipulate and process data and proficiency in the use of standard word processing, spreadsheet, graphics and database application programs in order to establish and maintain a variety of data bases
- Requires experience with computerized information systems like Microsoft Office. Requires experience associated with business processes to understand the organization, interrelationship of field staff and information sources.
- Requires an understanding of the various forms, file management and the application of various software packages.
- Requires a knowledge of English to effectively communicate to customer inquiries associated with service details and in the preparation of reports. This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education
- Requires understanding of lines and customer service work to be familiar with technical terminology, equipment and materials and contacts involved, to understand applicable policies, practices and procedures. A period of up to three years is considered necessary to gain this experience
