Job Function:

Accountable for performing data processing services for employees including inputting, updating, and maintaining various computer systems. First point of contact to answer time & attendance related inquiries from employees. Ensure processing activities are in accordance with data processing procedures, collective agreements, HR policies and internal controls to ensure accuracy, integrity, and confidentiality of data. Participate in auditing activities when required. Responsible for maintaining and producing reports and distributing information as needed and to working collaboratively within the team.

 

Job Description:

  1. Workflow & Inquiry Management:

  • First point of contact to answer time & attendance related inquiries from employees via HR system workflows (WFS, Service Now) and/or tasks assignments from other HR functions, ensuring timely resolution and accuracy when providing information.

  • Applies prioritization procedures to assigned activities in accordance with defined service level agreements (SLAs) to ensure timeliness for other HR processes.

  • Escalate more complex issues and inquiries to Team Lead or Supervisor.

  • Support the Team Lead and/or Supervisor in data collection or clarification regarding various forms and procedures to support time & attendance complex inquiries and investigations.

 

       2. Transaction Processing:

  • Complete Time & Attendance related data changes in various HR systems in accordance with data processing procedures, collective agreements, HR policies, and internal controls to employees.

  • Input Time & Attendance data changes with appropriate manager approvals including but not limited to: submitter/approver relationships, schedule/temporary shift changes, quota balance changes, etc.

  • Process mass data updates by following established processes and controls related to mass data updates in HR systems.

 

       3. Audit & Compliance:

  • Perform peer reviews on data entry activities to ensure accuracy of data entry to avoid any negative impacts on HR processes reliant on accurate data. Ensure all required information, forms, supporting documentation and approvals are provided.

  • Perform and participate in audits related to ensuring data entry activities are in accordance with defined HR controls.

  • Work together with HR teams to troubleshoot and resolve any anomalies identified through auditing activities.

  • Create and distribute various reports. System & Process Enhancements

  • Perform testing activities related to HR process and/or system changes as they relate to the processes under accountability of the TRC team.

 

      4. Administrative Support:

  • Perform various clerical services including the preparation of word processing assignments and reports as requested by Team Leads, Supervisor and/or Manager.

  • Inform Team Lead and/or Supervisor on necessary updates to records and files such as processes, training materials and others. File, retrieve and distribute above documents as necessary.

  • Receive and distribute mail and faxes. File and retrieve documents, as requested. Order, replenish and maintain office supplies.

  • Other duties as assigned.

 

Selection Criteria:

 

Education:

  • Requires a knowledge of office administration, and basic arithmetic, to perform calculations and adjustments.

  • Requires a knowledge of records management and technical documents.

  • Requires a knowledge of English to compose routine correspondence, reports and communicate effectively with others. Requires proficiency in typing/keyboarding including inputting, updating and maintaining various computer systems. This knowledge is considered to be normally acquired either through the successful completion of Grade XII in a Secondary, Commercial or Technical School or by having the equivalent level of education.

 

Experience:

  • Requires experience with time & attendance guidelines, practices, procudures to understand certain application of the Collective Agreement and other governing policies with respect to time & attendance, including approvals, shifts, time codes, vacation entitlements and carry over.

  • Requires experience with spreadsheet software to perform basic mathematical, tracking, verification and logging functions.

  • Requires experience in the operation of a computer terminal and the various computer hardware and software packages used for the input and retrieval of data.

  • Requires experience with software applications and procedures associated with external service providers. A period of upto two years is considered necessary to gain this experience.

  • Most of the work problems are normally resolved by applying standards, procedures, practices and routine. However, other problems associated with certain activities, such as investigating errors require using some judgment which is based on demonstrable and defensible rationale for selection and minor deviation

  • Requires performing most of work duties in an office environment and involves daily periods of keyboard use and working at a desk.

  • Requires frequent short intermittent periods of close attention throughout the day while processing transaction work.

  • Work assignments are usually received from the Supervisor, others in the work group, various clients or through routine work flow and are processed according to established procedures or are based upon instructions received on certain features of assignments. Requires proceeding with assignments and referring questionable situations encountered, such as the setting up of new databases, etc, to the Supervisor or others for clarification or further action to be taken. Assignments are checked by personnel using the services or through frequent progress and quality checks on specific aspects of the work provided by the Supervisor or others.

  • Supervisory responsibility not part of the job requirement but may on occasion require showing others how to perform tasks or duties.

  • Requires regular contact with HR, clients and staff throughout the department in order to gather, provide or explain information with respect to time and attendance queries.

  • Errors in performing administrative duties are minimized by self-checking and built-in mechanisms, such as programmed by computer, fulfillment instructions, HR controls and through contact with the Supervisor or the involvement of others. These errors would have relatively minor impact. Requires the majority of the work to be performed in the usual office environment.
