What You’ll Do:

  • Document Preparation & Records Management:
  • Perform records management, word processing, and clerical tasks using Microsoft Word, Excel, PowerPoint, and Adobe Acrobat to prepare correspondence and reports.
  • Apply your proficiency in Microsoft Office to format, edit, and update regulatory documents to meet critical deadlines.
  • Organize and maintain regulatory records on SharePoint, including exhibits, hearing transcripts, and other key documents.
  • Collaboration & Meeting Coordination:
  • Work closely with internal and external stakeholders such as intervenors, witnesses, and hearing participants to arrange meetings, obtain necessary information, and provide support for Hydro One's submissions to regulatory authorities.
  • Coordinate logistics for meetings, including reserving spaces, scheduling briefings and training sessions, and organizing refreshments or meals as required.
  • Quality Control & Proofreading:
  • Proofread various technical, legal, and regulatory documents to ensure accuracy in typing, consistency in format, and adherence to legal conventions and public notice requirements.
  • Document Distribution & Expense Processing:
  • Coordinate the reproduction and distribution of regulatory materials, maintaining and updating distribution lists for internal and external contacts.
  • Use corporate systems like SAP to process, check, and reconcile invoices, expense accounts, and material requests, ensuring accuracy and completeness.
  • General Administrative Support:
  • Carry out various clerical tasks, such as arranging mailings, providing messenger services, assembling reports and exhibits, and sourcing reference materials from internal and external sources.
  • Deliver and pick up materials as needed and perform other duties as assigned.

 

What We’re Looking For:

 

  • Working towards a University Degree in Communications, Political Science, Public Policy Administration, Business Administration, Economics, or a related field.
  • Strong proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and experience with SharePoint and Adobe Acrobat Professional.
  • Experience coordinating meetings and working with internal and external stakeholders.
  • Familiarity with SAP and experience processing invoices and Purchase Orders is a plus.
  • Excellent communication, organizational, and time management skills.
  • Ability to manage multiple tasks and meet deadlines, with occasional availability to work evenings or weekends if needed.
